1. Who we are

Brain Inbox operates the Brain Inbox mobile application and the website thebraininbox.app. We are an independent developer. For privacy-related questions, contact us at privacy@thebraininbox.app.

2. What data we collect

We collect only what's necessary to provide the service:

  • Account data: email address when you join the waitlist or create an account.
  • Voice and text input: the notes, voice recordings, and text you submit to the app. Used solely to generate your tasks, reminders, and ideas.
  • Usage data: anonymous, aggregated analytics about how you use the app. We do not track you across apps or websites.
  • Device data: device type, OS version, and app version — used for debugging and compatibility.

We do not collect payment information (handled entirely by Apple), government IDs, financial data, or precise location.

3. How we use your data

  • To provide and improve the Brain Inbox service.
  • To process your voice notes and text and return structured output.
  • To send product updates if you opted in.
  • To diagnose bugs and improve performance.

We do not sell your data or use it for advertising.

4. AI processing

Your voice notes and text inputs may be processed by third-party AI providers (such as OpenAI) to generate structured output. These providers act as processors on our behalf and are contractually prohibited from using your data to train their own models. We send only the minimum data necessary.

5. Data storage and security

Your data is stored on secure cloud servers with encryption in transit (HTTPS/TLS) and at rest. Access is restricted to authorized personnel. No system is 100% secure, but we take industry-standard measures to protect your information.

6. Data retention

We retain your data while your account is active or as needed to provide the service. You can request deletion at any time by emailing privacy@thebraininbox.app. We process deletion requests within 30 days.

7. Your rights (GDPR and international users)

If you are in the EEA, UK, or another region with applicable privacy laws, you have the right to: access your data, correct inaccurate data, request deletion (“right to be forgotten”), restrict or object to processing, data portability, and to withdraw consent at any time. Email us to exercise any of these rights.

8. Third-party services

  • AI providers: to process voice and text input.
  • Cloud infrastructure: to store and serve your data securely.
  • Analytics: anonymous and aggregated usage data only.
  • Apple App Store: handles all in-app purchases. Apple's privacy policy governs payment data.

We do not use advertising networks or sell data to data brokers.

9. Children's privacy

Brain Inbox is not directed at children under 13 (or under 16 in the EEA). We do not knowingly collect data from children. If you believe a child has submitted data, contact us immediately.

10. Changes to this policy

We may update this policy. Material changes will be communicated via email or in-app notification. Continued use after changes constitutes acceptance of the updated policy.
